Terms and Conditions for Warwick Schools Foundation Cub Clubs (CUB CLUB)

Cancellation Policy:

  • Warwick Schools Foundation Cub Clubs (CUB CLUB) reserves the right to cancel any session, term, or program if the minimum required number of bookings is not met. In such cases, a full refund will be provided to the parent/guardian.

Changes to Program:

  • CUB CLUB reserves the right to make changes to the program, schedule, or activities as deemed necessary for logistical, safety, or educational reasons. All changes will be communicated promptly.

Booking Changes:

  • Changes to bookings are permitted only if space allows and staffing ratios can be maintained. Any requests for changes must be made in writing.

Cancellation and Refund Policy:

  • Cancellations made within 14 days of the original booking are eligible for a refund or credit note.
  • Cancellations made within 2 working days of a session will not be eligible for a refund or credit note unless on medical grounds with a valid doctor's note.
  • Credit notes issued must be utilized within 12 months of the issue date.

Responsibilities of Parents/Guardians:

  • Parents/guardians must disclose any medical conditions, disabilities, illnesses, or behavioral concerns regarding their child when making a booking.
  • Parents/guardians must be present throughout all sessions for children of all ages to provide support and ensure adherence to safety guidelines.
  • Children are expected to behave respectfully towards others and adhere to all safety and behavioral guidelines.

Use of Personal Possessions:

  • CUB CLUB is not responsible for the loss, theft, or damage of personal belongings. It is recommended that children do not bring valuable items.

Mobile Phones:

  • Mobile phones are not permitted during sessions to maintain focus and safety. If brought, they must remain in the child’s bag and are brought at the owner's risk.

Health and Safety:

  • Parents must ensure that children have any necessary medical aids (e.g., EpiPens, asthma pumps) labeled and handed over to the program coordinator at the start of the session.
  • The program requires a signed "Permission to Administer Medication" form for children needing medical attention during sessions.

Jewelry Policy:

  • Jewelry is not permitted during sessions for safety reasons.

Photography:

  • CUB CLUB may take photographs or videos during sessions for promotional use. Parents/guardians who do not consent to this must inform the team in writing at the time of booking and complete a provided opt-out form.

Behavior Policy:

  • Bullying, prejudice, or any behavior that disrupts the program will not be tolerated. Children whose behavior negatively impacts others may be excluded from sessions without refund.
  • Parents are expected to treat staff respectfully. Verbal or physical abuse towards staff will result in the immediate termination of the child’s enrollment without refund.

Payments and Stripe Charges:

  • Payments for CUB CLUB sessions are processed through Stripe. Please note that Stripe retains a processing fee (1.5% of the transaction amount). This fee is non-refundable in the event of a refund.

Program and Booking Information:

  • Bookings are taken on a first-come, first-served basis. Confirmation of your place will be sent via email upon receipt of payment and completed forms.

Complaints:

  • CUB CLUB values feedback and follows a formal complaints procedure. For a copy of the procedure, contact the CUB CLUB coordinator.

Liability:

  • While staff will ensure every child’s safety and well-being, CUB CLUB is not liable for accidents or injuries resulting from non-compliance with program rules or unforeseen circumstances.
